Setting Up Custom Email Domains

Configure your organization’s custom email domain for secure, verified email communication

Configure your organization to send emails from your company’s domain, ensuring recipients trust and recognize communications from your organization.

Prerequisites

• Organization Admin access
• Access to your DNS provider
• Domain ownership

Configuration Steps

1. Add Email Domain

1. Navigate to Organization Settings
2. Select “Email Domains” tab
3. Click “Add Domain”
4. Enter your domain (e.g., elementum.ai or app.elementum.ai)

2. DNS Configuration

Add these DNS records to your provider that the UI will provide you with.

3. Verification Process

• After adding DNS records, click “Verify Configuration”
• Verification can take up to 24 hours
• Status indicators show configuration state:
  • ✅ Green: Properly configured
  • ⚠️ Yellow: Pending verification
  • ❌ Red: Configuration error

4. Testing

1. Once verified, enter a test email address
2. Send test email to confirm setup
3. Verify received email shows your domain in “From” field

Setting Default Domain

1. Select verified domain
2. Click “Set as Default”
3. Confirm selection

Monitoring & Maintenance

• System checks domain validity every 6 hours
• Invalid configurations trigger admin notifications
• Fallback to elementum.io if domain becomes invalid

Error Notifications

Admins receive alerts for:

• Invalid domain configuration
• Failed email validation
• Domain verification issues

System Error Notifications Setup

1. Go to Organization Settings
2. Select “System Notifications”
3. Add users/groups for error notifications

Best Practices

• Regularly monitor domain status
• Keep DNS records updated
• Configure backup admin contacts
• Review email sending logs periodically

Troubleshooting

If domain shows errors:

1. Check DNS records match exactly
2. Verify no conflicting records
3. Ensure domain ownership
4. Contact support if issues persist

• Emails use DKIM for authentication
• “Reply-To” preserves elementum.io address
• System logs all domain-sent emails
• 24-hour maximum verification time
